Countdowns for birthdays, trips and deadlines

A countdown is worth setting for any date that needs preparation before it arrives: birthdays and anniversaries, trips, exams and deadlines, and races or events. Pick the date, note how many days are left, and write down what has to happen before the day. A countdown on its own tells you how long you have. A countdown with a short checklist tells you what to do with that time.

The short version

  • Set a countdown for dates that need action beforehand, not for every date in your calendar.
  • Match the lead time to the kind of date: roughly a week for a birthday, a month for a trip, longer for an exam, race or big deadline.
  • Pair each countdown with two to five concrete tasks, each with a day it should be done by.
  • Keep the list short. Three or four countdowns you really look at beat fifteen you ignore.

Which dates deserve a countdown?

A countdown earns its place when waiting until the last minute would cost you something, and an app such as Planwell on the App Store keeps the date in front of you. Four kinds of date usually qualify.

Birthdays and anniversaries

These are fixed, and forgetting them hurts. A card needs posting, a gift needs choosing and a table might need booking. A countdown stops those tasks colliding in the final two days.

Trips

A trip has the longest list of things to do: bookings, passports, packing, getting time off. It gains the most from an early start.

Exams and deadlines

A deadline feels far away until it is suddenly not. A countdown makes the remaining days concrete, so you can plan backwards from the date.

Races and events

If you are training for a race or preparing for an event, the countdown shows how many weeks of preparation remain.

How far ahead should I start?

Each kind of date needs a different amount of notice. These are rules of thumb, and you can adjust them to how you work.

When you add a countdown, ask when it needs attention and put your first task at that point.

How do I pair a countdown with a checklist?

A date alone creates vague pressure. A short checklist turns it into a plan:

  1. Write the date and give it a clear name, such as "Mum's birthday".
  2. List the tasks that must happen before it, no more than five.
  3. Give each task its own day, working backwards from the date.
  4. Do the earliest task now, so the countdown starts with progress.

For a birthday that might be: choose a gift, order it, write the card, post it. For a trip: book travel, check passports, arrange time off, pack. Keep each task small enough to finish in one sitting.

How does the Countdown tracker work in Planwell?

Next up, in large type

The top of the Countdown screen shows a "Next up" header with your nearest date. You see its name and date, such as "Mum's birthday" and "18 October 2026", and a large number of days to go. Under it is a live counter showing days, hours, minutes and seconds, ticking down to the day itself.

Coming up

Below that, the Coming up list shows your other upcoming dates. Each row has the days remaining, the name and the date, so a wedding anniversary 42 days away and a marathon 88 days away sit one below the other. Dates that have passed move into a Past section, which shows how many days ago each one was.

Adding a countdown

Tap the + button to open the New countdown form. It has an emoji, the event name, a date picker and a note, where you can keep anything you want to remember about the day. The Home screen also has a + button on the Countdown tile.

You can also add one by typing or speaking to the assistant. Open Ask Planwell and say, for example, "add Tara's birthday on the 14th". The assistant can be wrong, so check the date it saved.

Ask how long until something

You can ask Planwell in plain language, such as "How long until Tara's birthday?". In the app it answers with the days to go and shows the countdown. It can also use your other entries: in one reply it noticed a dinner booked the night before and suggested ordering the cake that weekend. When asked to add a reminder to order the cake on Saturday, it put the task on a checklist.
